Schedule Information

 Purpose

The Schedule Information screen allows a user to modify/edit existing series or add new series.  The top of the screen displays the Schedule Name you are adding/editing, the Description of the schedule, the Grace Period in Days, and the Current Series.  Once all portions of this screen are complete save your changes by clicking the Manage Another Series button.

Displays the name of the schedule you are modifying/creating.

Displays the number of days grace period that applies to the schedule you are modifying/creating.

Screen Details

Complete Series Tab

The Complete Series Tab displays a summary of the whole series.

SERIES NAME

This heading displays the name of the series that you are viewing/editing/creating.

Min Grace

Indicates if the series allows the minimum grace period.

Max Grace

Indicates if the series allows the maximum grace period.

Invoke on Age

Indicates if the series schedule will invoke on a clients age.

Invoke on Use

Indicates if the series schedule will invoke with the clients use of the series.

Invoke on High Risk

Indicates if the series schedule will invoke if the client is at high risk.

Max Dose

Indicates if the maximum doses a client can have by a certain age for a series.

Override

Indicates if the series has any age override rules.

Acceptable Vaccines

List all vaccines that are acceptable for the series.

Number

 

Age Rule

Lists the minimum (Min), recommended (Rec), overdue (Ovr), and maximum (Max)age rules associated with the dose.

Adjacent Interval

Lists the minimum (Min), recommended (Rec), & overdue (Ovr) intervals for the next dose in the series.

Jump To Complete

Shows the number of doses by a age = early completion of the series.

Unacceptable Vaccines

List vaccines that are unacceptable to the series.

Non-Adj. Int.

List the Dose Number (Dose Num) and Minimum Interval (Min Int) need between different vaccinations within the series.

Minimum Interval to Validate

Displays the minimum interval to validate a dose from a series.

Under this heading you will find all doses in the series that you are viewing/editing/creating.

Min Grace

Indicates if the series allows the minimum grace period.

Max Grace

Indicates if the series allows the maximum grace period.

Invoke on Age

Indicates if the series schedule will invoke on a clients age.

Check this box to indicate if this dose is a booster.  Remember that boosters are only allowed for the last dose in a series.  Boosters can be repeated as often as needed.  In other words, boosters allow unlimited doses.

Adding a New Series

New Series will not be added to your schedule until you indicate it is done.  This is done by clicking the Manage Another Series button.  Saving prior to completion may be possible, but can cause users of that series to experience unexpected behavior.  Therefore, be sure that you are done every tab, before trying to saving a new series.  

  1. If you are creating a new series the Complete Series tab will have no data. You only see the headers.

  2. If you are editing an existing Series the series details will be displayed.

  3. Click the Series tab.

  4. Choose a Series Name.  (Required Field)

  5. Indicate if the minimum grace period (if any) applies to this series.

  6. Indicate if the maximum grace period (if any) applies to this series.

  7. Complete the following tabs if they are applicable.

Acceptable Vaccines Tab

This tab allows you to indicate all of the potential vaccines that can satisfy this series.  You may also set the vaccine up so that the age of the client and dose size have an impact of validity.  (E.g. If an adult received a single pediatric dose of Hep B, this is not valid.  Receiving 2 doses of pediatric vaccine will be valid.

    1. Indicate the acceptable vaccines for this series

    2. Select the vaccines that are acceptable for ANY dose in this series. ( You will be able to indicate any that are not acceptable for specific doses later. )

      • You must select at least 1 acceptable vaccine.

    3. Indicate if this is the primary vaccine for this series.  (This sets the vaccine groups that are associated with this vaccine.  In the case of a combo vaccine, both vaccines will be set.)  Only one primary vaccine is allowed.

    4. If there is a minimum dose size and dose multiplier for this vaccine to be used in this series, enter this information for each vaccine.  (This will be ignored if the immunization is not from registry inventory.)

Maximum Doses Tab

If there are a maximum number of doses recommended for an immunization, regardless of immunity then the max doses rule applies.  

    1. Enter information for this rule. (e.g. A client who receives 6 or more doses of DTAP before the age of 7 years is not recommended to get more DTAP.  In this case, we would enter 6 as the max doses and 7 years as the max age.)

Trade Name Tab

If this series can only be satisfied by a trade named vaccine, enter information for this rule.

  1. Select any trade names from the list on the left into the list on the right.  More than one trade name may satisfy this series.

Alternate Series Tab

If there are other series that can replace doses in this series, add that information.

    1. Select the alternate series

    2. Enter the age and age attribute for the starting dose in the alternate series.

    3. Enter the relationship symbol (>, >=,=, <=,<) for the age relationship.  This will control how the age at immunization for the first dose is related to the age entered above.  For example if the age is 1 year and the relationship symbol is <, then we would say, if the age at immunization is < 1 year for the first dose, then use this rule.

    4. Enter the number of doses recorded in the alternate series.

    5. Enter the number of doses that will be replaced by the alternate series for the combination of age and doses listed in the rule.

    6. Enter the vaccine group of the alternative series being evaluated.  This is used if the vaccine given is a combo vaccine.  We are only interested in one component of that combo.  

    7. Click the Add button.

    8. Repeat as needed.

Invoke On Rules Tab

Use the following tabs to Indicate if the series should only be evaluated if certain conditions prevail.

NOTE: Be sure to complete the Minimum Age field if you select this option.

NOTE: Be sure to select the comment from the comment pull-down menu.

Results Rules Tab

This tab is used for conditions like small pox.

    1. Enter the results for the rule.  (If the conditions below are met, is the person immune?)

    2. Indicate how the results are impacted by a previous dose being recorded as historic. (In other words we know that a person had a smallpox vaccination in the past, but we dont have an actual date.)

Results Interval Tab

    1. Indicate the minimum and maximum read intervals.

    2. Indicate the recommended and overdue intervals.

Override Rules Tab

  1. Indicate the age at wish you would like the override rules to apply.

Unacceptable Vaccine Groups Tab

  1. If a series for a combination vaccine applies to only one member vaccine group, set the other vaccine group(s) to unacceptable.  The example is Pediarix.  There will be a Pediarix HepB series, but not one the Polio or DTAP components.

Creating Dose Records

Now you need to create a record and rules for each dose and booster in the series.  For any entry that requires an age or an interval, you should leave it set to 0(zero), if dont need to enter anything.  For instance, if there is no minimum age for dose 2 in a series, leave it set at 0 days.  The interval rule will set the reference date.

Repeat for each dose in the series.

  1. Indicate if this dose is a booster.  Remember that boosters are only allowed for the last dose in a series.  Boosters can be repeated as often as needed.  In other words, boosters allow unlimited doses.

  1. If age rules apply to THIS dose, then enter the ages and attributes required.

Sets the recommended age at which a dose should be given.

Overdue Age

Sets the age at which a client becomes overdue for a dose.

Maximum Age

Sets the maximum age at which a client can receive a valid dose of a series.

Clicking this button remove selected Doses from this Series

Select

Selects the dose from the series which you wish to view, modify or delete.

Number

Indicates the dose number in the series.

Booster

Indicates if the dose is a booster or not.

 

  1. In cases where a client is behind schedule, the series accelerates and doses may be skipped.  For instance, if client receives DTAP #4 after age 4 years, this is treated as dose #5 and the series is complete.  In these cases, enter the minimum age and attribute for this acceleration to occur.  Also indicate the number of doses to skip.  In the example above, you would enter 4 years as the minimum age and 1 as the number of doses to skip.  You may have more than 1 jump to rule per dose.

  1. There are doses in series that are valid, in spite of being received prior to the minimum interval.  The minimum interval is still applied to recommendations.  In these cases, enter the minimum interval and attribute that will apply to this dose.
